Supporting Collecting Clubs - Their Leadership and Members

The Association of Collecting Clubs works with, and supports collecting clubs, societies, associations and groups of all types.

Objectives

The major purpose of the Association of Collecting Clubs is to assist and support collecting groups - their leadership and memberships - through a variety of programs and services.

Further, the ACC assists collectors wishing to establish new clubs in areas where none now exist, and helps all clubs desiring to form partnerships and networking for mutual goals and objectives. It is doubtful that any collecting club has a problem which is truly unique. Most clubs, regardless of the collecting area they support and serve, have some of the same problems and challenges, and some of the same opportunities, as other collecting groups. ACC will assist club leadership in addressing many of these areas together.

And, lastly, ACC offers a vehicle to the leadership of collecting clubs to join together to have a strong "voice" in the antiques and collectibles industry on issues of interest.


Background

When the website Collectors.Org was launched by Americana Resources in January 1998, it's stated purpose was that: "This site is primarily targeted at collector organizations or clubs and their members, with a broader secondary audience being `all' collectors."

Soon after it's launch, Collectors.Org became the designated website of the National Association of Collectors which was founded in 1996 by Harry L. Rinker, president of Rinker Enterprises, Inc, Emmaus, Pennsylvania and Jim Tucker, founder & director of Antique & Collectible Associations, Davidson, North Carolina. The stated goal of NAC originally was to identify and address those needs and concerns that are common to all collectors.

In January, 2002 Americana Resources, which operates Collectors.org, purchased the National Association of Collectors. Soon after, the Association of Collecting Clubs was created as a parallel organization, with one directed at assisting individual collectors and the other supporting and assisting the leadership of collecting clubs.

While Collectors.org had provided the entree for working closely with collecting groups for several years, the establishment of the Association of Collecting Clubs provided the "umbrella" for actively supported collecting groups with a variety of services and programs.

Over the past several years Collectors.Org has developed into a major FREE information website for collecting clubs--serving club leaders, their members and the entire antiques and collectibles industry. Both NAC and ACC use Collectors.Org as their combined official website. The website is continually changing, offering additional enhancements in support of it's objectives.

The Association of Collecting Clubs, National Association of Collectors and Collectors.org are all owned by Americana Resources, Gaithersburg, Maryland. More information on Americana Resources.


Program Areas

A number of program areas have been identified as major areas for ACC involvement. This is based primarily on the relationships between Collectors.Org and many collecting clubs over the past four years and observing the challenges and the opportunities that exist.

In addressing these issues, ACC plans to make heavy usage of the expertise in ACC member clubs and other consultants and advisors throughout the antiques and collectibles industry and from outside the industry.

Starting a Collecting Club

The Association of Collecting Clubs gets dozens of queries from collectors which go something like this, "I collect (fill in the blank) but I've never run across anyone else who collects these items. Are there other collectors? Is there a collecting club for us, or how do I start one?" The major intent of this program area is to help collectors who are in a collecting area not having an organized collecting club, and who would like to start one. We will also compare different types of collecting clubs. Collecting clubs have been in existence for decades. For most of us in the antiques and collectibles industry, the image of a collecting club is pretty standard. But over the past 10 years many new clubs...and some of these are the clubs experiencing the most growth...are in many aspects "non-traditional." Is this an indication of the future for collecting clubs? Will some of them transition into more traditional club models? Can traditional clubs learn something from some of these newer efforts which can make them stronger in relating to the collecting area they serve?

Appraisals & Appraising

ACC will continue to involve the appraisal associations in the antiques and collectibles industry to develop educational programs and information tailored to the needs of collecting clubs and their members. One of the major sections of this program area for clubs will focus on the question "Should Our Club offer Appraisals?"

Many of the programs of both ACC and NAC can best be addressed by building meaningful coalitions among collecting clubs with the same needs or interests as well as networking with other groups beyond collecting clubs.

Collecting Clubs - A Partnership in the Antiques & Collectibles Industry

The Association of Collecting Clubs can become a major partner in the antiques and collectibles industry. By joining together, creating a major "voice" for causes supportive of all collectors, we can make a difference, both in identifying problems and helping to solve them, and in identifying the potential for opportunities which exist and helping to capitalize on them.

The Internet

The Internet provides new opportunities to clubs for doing many things differently. When used affectively, it can cut operating costs substantially. It provides the potential to promote and recruit to vastly larger audiences than ever before available to most clubs. It can provide the means for communicating to your membership and to the club leadership and committees instantaneously. The Internet is rapidly becoming an integral part of the operations for many collecting clubs, although they are at various points along the spectrum. Some clubs have developed tremendous websites which are functioning as a central area not only for the club but for that entire hobby area. Some are doing a good job of transitioning their major club operations over to the Internet, everything from member enrollment and renewals to convention registrations and ongoing board and committee discussions. Some clubs have not yet determined if a website or the Internet is useful for their particular needs. And, many clubs are somewhere inbetween. This ACC area is designed primarily to help club leadership determine how the Internet can best serve their club needs, provide information for club webmasters and serve any other purpose that can help clubs in the ever-changing area of the Internet.

There are some who say that Special Projects are the real `backbone' to the energy of a collecting club; and, some even say that projects are the very reason for a club's existence! This may be a little strong, but undoubtedly when a club decides to plan and develop a special project, it is important for many different reasons.

Club Leadership Models

Regardless of how popular a collecting area may be, often the success (or lack thereof) of a collecting club serving that area is closely related to club leadership. Additionally, this may have absolutely nothing to do with the abilities of the people in leadership positions, but more to do with leadership models. Does your club change leadership every year? Are club Bylaws or the Charter or Constitution "correct" for the situation? Is your club a candidate for considering an executive director? What role does the Board play? ...executive committee? ...other committees? Do all club leadership positions have clearly defined position statements? Is the club leadership and the general membership "on the same page?" These are some of the areas in which ACC plans to help clubs identify their strengths and weaknesses and to correct areas needing help.

Law & Legal Ramifications for Clubs

Club leadership needs to continually be aware of the ever changing laws at every level which may directly affect their club operation and membership. This can mean everything from whether or not a 501(c)3 is currently a good or a "not so good" idea for collecting clubs, to the whole Internet area. Copyright laws, dealing with suspension of members and club liabilities at conventions and shows are only a few of those areas. ACC will seek out legal advice to help clubs with addressing these issues.

Major club anniversaries are a very special time in the history of a collecting club. No matter whether it is a fifth anniversary, a 25th anniversary or a 50th anniversary, it is not only a time to celebrate, but also provides an opportunity to highlight the accomplishments of the club and to promote the club.

Club Advertising

This program area addresses club advertising from two different sides - clubs accepting advertising; and, advertising your club. If your club accepts advertising as one source of potential income, it must be a serious, well-orchestrated advertising program, preferably headed up by an advertising manager or director. On the flip side, if your club has made the decision that one of the best ways to promote the club and expand membership is to advertise the club, this, too, should be well planned out and the responsibility of a key person in the club.

Club Conventions

Annual club conventions are perhaps the single most important event of the year for most collecting clubs. Conventions shore up membership and can be used to recruit new members. They provide an atmosphere of "fraternity" and fellowship, as well as an educational component. They often command a sizeable commitment of manpower and a large portion of the annual budget. A club Convention eNews electronic newsletter will be used as one tool to allow convention chairmen to share ideas and suggestions which may help other club convention chairs. Note: In this section we are using the term "convention" in its broadest sense. Club-sponsored shows and other "convention-like" events are included in this area.

Perhaps there is no other area which lends itself to clubs helping other clubs, through mentor programs and in other ways, than providing new ideas and suggestions on what works and what doesn't work relating to promotion and recruitment, as well as retention of members. ACC will recruit specialists in this area to help develop program models for clubs to consider.

Reaching Young Collectors

Realizing that some collecting areas may be of more interest to young people than others, all clubs should find ways to make young collectors feel welcome. Help them to learn about the hobby so their collecting experience will be a pleasant one. There are some collecting clubs which are currently doing an outstanding job in this area. With their support, other clubs may find this a valid component to include in their future plans.

Serving New Audiences

There are currently more people interested in "collecting" as a pastime than at any other time in history. Some of these people have never collecting anything before. Some are intrigued by the idea of becoming a collector but haven't even chosen their collecting area yet. As clubs struggle with expanding their membership - or holding on to existing memberships - serving new audiences need to be given paramount consideration. ACC an help identify new audiences and ways to reach them.

The Project on Reproductions

First, an explanation of what The Project on Reproductions is not. It is not a project to "identify" antiques and collectibles reproduction. The major purpose of The Project is to organize a mobilization of the antiques and collectibles industry in support of permanent marking and dating of reproductions and fantasy items in antiques and collecting areas. This can include a push for federal legislation to expand the collectibles areas covered by the Hobby Protection Act (Administered through the Federal Trade Commission, the current Hobby Protection Act mandates that all reproduction of coins and political items be permanently dated and identified as reproductions.) or similar legislation.

Creative Awards Programs

Awards can be an interesting aspect of a collecting club's operations. What constitutes a meaningful award? What is the best type of selection process? Developing a Club Awards Program. We've often heard it said that the giving of awards can sometimes cause as much bad as good, depending on the reason the award was given, and to whom it was given. Yes, the issuing of awards can be very competitive, but it can also be fair. This program area will hopefully provide some pointers and options which will allow your club leadership to have appropriate discussions on developing a creative awards program for your club.

New Technologies

No other program area is potentially more important to collecting clubs than this one. If the new technologies available to club leaders today - along with the continuous flow of new and better technology products coming on the market daily - were applied to club operations, changes would be significant. Reaching new audiences, advancing knowledge to the membership through new technology, club promotion and membership recruitment, club member communication - all areas where new technology can have major, major impact. Through the use of CD's, VCR's, DVD's digital photography, cam recorders, put your club's knowledge base on permanent file, accessible directly to every collector's home, local library and classroom.

Fund Raising

The general concept is that all collecting clubs are poor...that all collecting clubs operate on a "shoestring" budget...that they all could apply for - and quality for - a collecting clubs' welfare program, if such a thing existed. While the above statement may be partially true, that many collecting clubs do operate on a very limited budget, there are some which have a rather healthy budget. Many are finding multiple revenue sources, and not just relying on a dues structure to operate the club. It is interesting that fund raising is neither a large part of the budget, nor of the operating plan of most collecting clubs. Yet, if done correctly, we feel that most clubs can easily build the "case" for a potentially very successful fund raising program.

Club Documents

If your club is organized with officers, a board, and membership dues, you probably have a need for certain established documents. The most common of these are the Bylaws, Procedures Manual or Operating Manual, and a Code of Ethics. Particularly if your club has a desire to be incorporated or register as a not-for-profit organization under the 501 (c) 3 category, it is important to have some of these club documents.

ACC benefits are continually being expanded and upgraded, but here is a listing of some of the major benefits

Information Resource

The ACC website at http://collectors.org has been a major free information site on the Internet serving the antiques and collectibles industry for seven years. The numerous directories, schedules and collector information brings in tens of thousands of visitors to the site every month. The Club Directory is the best on the Internet, produced by ACC in partnership with Maloney's Directory and the CollectingChannel. The Club Convention Schedule, Flea Market Directory, Directory of Collectibles Glossaries and Auctioneers Directory are only a few of the other resources on Collectors.org. The website also highlights a featured club and a featured club website on it's homepage on a rotating basis.

If your club has a website, consider Collectors.Org an extension of your own site. A direct link from your site to Collectors.Org brings all of the above features directly to your club membership and other site visitors.

ACC News Service & Resource Bureau

A new and expanded electronic news and resource service is dedicated to serving collecting clubs by making your news and features available to over 1,000 news outlets in the antiques and collectibles industry and targeted marketing beyond our industry to selected editors and columnists on larger daily newspapers, news and feature magazines, news syndicates, feature columnists and wire services and news sites on the Internet representing media outlets in over two dozen countries.

The Resource Bureau allows collecting groups to have spokespersons representing their clubs listed who are willing to talk with media representatives who contact them about your particular collecting area.

This major service allows your collecting group to gain maximum exposure for every news story, feature and story lead that you create.

Direct Link

A direct link to your club's membership application form from the ACC website's home page provides new exposure for prospective members. If your club does not have a website, a mailing address is provided where interested visitors can contact the club.

Club Conventions

One of the areas where many clubs are looking for new ideas and suggestions relates to their annual convention - usually one of the highlights of the club calendar. In 2004 ACC released the results of a national survey on club conventions and developed a program area for club convention operations.

An Advisory Group is currently working on developing guidelines for site selection and negotiating with convention facilities from the standpoint of collecting clubs.

Membership Recruitment and Membership Retention

ACC already has several programs in place and is working on others relating to club promotion, reaching new audiences, the youth audience, member services, membership retention and more.

ACC, working in partnership with the show management of the Atlantique City Antiques & Collectibles Show, the largest indoor show in the world, actively promotes visibility and membership recruitment for clubs which choose to participate in this activity. Nearly 200 collecting clubs participated in the past show at the ACC booth.

Discussion Forums

A discussion forum on the ACC website on your club's collecting area, operated by your club, or if you already have a discussion forum, a direct link from our website to yours, is offered all ACC member clubs.

The Project on Reproductions

This project, coordinated by ACC in partnership with the National Association of Collectors, has a single goal to work toward having all collectible reproduction and fantasy items permanently marked and dated. Any club representing a collecting area which has a problem with reproductions needs to be a part of the Project on Reproductions.

ACC is the most active supporter of the Hobby Protection Act and works closely with the Federal Trade Commission in enforcement of the Act. In 2003 ACC conducted a major national survey of clubs about reproductions.

Club Websites

For many collecting groups, the club website is increasingly becoming a crucial part of club operation as both a member recruitment tool and as a valuable educational resource. ACC is developing an impressive Internet Advisory Group composed primarily of webmasters from within the collecting industry, as well as from outside the industry, to assist clubs and club webmasters to make their websites even better.

Insurance Programs

A collector insurance program can be offered directly through your club to your members, which provides an administration fee directly back to your club. ACC also supports a liability coverage policy tailored to your club's membership convention or other club-sponsored events.

New Club Models

ACC is working with a number of collecting groups which offer opportunities for collectors beyond the traditional club approach, or in combination with traditional clubs.

National Association of Collectors

The NAC is a "sister" organization of the ACC, and is targeted at supporting the needs of individual collectors. NAC identifies and addresses those needs and concerns that are common to all collectors - information on collection management, security and insurance, dispersal and estate planning, displaying collectibles, utilizing new technologies, and more. For all clubs that join ACC, your entire membership automatically become members of NAC, with all NAC privileges. At NO ADDITIONAL COST! In addition to the NAC information and educational programs for individual collectors, this means that your members can participate in the NAC Partnership Program which provides discounts to members on a broad range of products and services of interest to collectors.

One of the goals of ACC from the onstart has been to create and promote opportunities for networking and partnering between clubs with mutual interests and objectives. This is one of the major ACC thrusts for 2004-2005.

Collecting Clubs eNews Electronic Newsletters

ACC offers a Collecting Clubs eNews electronic newsletter reaches the collecting community with news about collecting clubs and their activities, collecting issues and coverage of many other projects and events. Clubs are encouraged to contribute news and features to this newsletter produced and distributed by Collectors.Org and ACC which reaches thousands of collectors in club leadership positions.

ACC Update is an electronic newsletter sent to the contact person of ACC member clubs with information about various programs and news relating to ACC, NAC and collecting clubs in general.

ACC Conferences & Workshops

Looking ahead, ACC plans to partner with other groups in offering special conferences and workshops in specific program areas to assist club leadership in strengthening their individual club program and service areas. This area will be explored with the ACC club leadership later in 2004.

ACC Store and Logo Store

All ACC members will have access to the ACC Store of special ACC merchandise and the Logo Store featuring an array of ACC logos for various display needs of member clubs.

Voice in the Antiques & Collectibles Industry

ACC continues to speak out representing collecting clubs and collectors on various issues within the antiques & collectibles industry. By joining together and creating a major "voice" for causes supportive of all collectors, we can make a difference, both in identifying problems and helping to solve them, and in identifying the potential opportunities which exist and helping to capitalize on them. We want you to be a part of this by becoming a member of ACC.

By joining ACC, your club not only has the access to valuable services and programs offered, but your membership in ACC becomes a true extension to the membership services you offer your own members.


How To Join

ACC invites all organized collecting groups to become a member of the Association of Collecting Clubs. No matter whether you call yourself a club, society, association, circle, guild or some other description, you are welcome. Whether a traditional collecting club, internet club, Yahoo group, company-sponsored collecting club or just a group of collectors "getting started," you are welcome to participate. (We also welcome individual collectors as members of the ACC "sister" organization, the National Association of Collectors, which focuses on assisting individual collectors. See the NAC section on this website.)

Expectations

ACC expects collecting clubs which become members of ACC to be pro-active partners. ACC has a wide range of programs and services for member clubs. Our philosophy is that any club which joins ACC has strengths which can be shared. The success of ACC is directly proportionate to how active our member clubs are in identifying program areas in which they can contribute or take a leadership role. Club expertise and leadership will be welcomed in addressing not only the ACC program areas but also the program areas addressed in NAC.

Every club which joins ACC will be asked to appoint a key member of their club to be the primary representative to ACC. This person will be our initial contact on all issues relating to ACC club involvement. We also need a designated media or PR contact for your club. This may be the same person as the key contact, or a different designated club member.

ACC member clubs are also encouraged to help promote both ACC and NAC in their club publications, on their website and through other channels. The Logo Store provides tools for this purpose.

Our desire is to offer programs and services through ACC and NAC that will measurably broaden and strengthen your club's offerings to your membership; that ACC and NAC will become an integral part of your club.

We hope every collecting club, society and association will become an ACC member. We look forward to working with you in partnership.
